What Can I Log as Working Time?
You are only able to invoice activities and time that are approved according to Step Up Tutoring policy.
These include:
- Tutoring Time: You can invoice the time spent tutoring a student through the Learning Portal. Please note, these must take place in the Learning Portal and have both student and tutor present and participating in order to be invoiced. The full time spent meeting with a student can be invoiced.

Prep Time: Prep time includes time spent communicating and reviewing the curriculum and materials before a session. The first session with a new student can have thirty minutes of prep time attached.
All sessions which both student and tutor join after the first session can include fifteen minutes of prep time attached. - No Shows: Sometimes a student does not show up to a scheduled session and has given you no notice beforehand. In this case you are expected to be available for 15 minutes, and in that time you are expected to reach out and attempt to confirm with the student’s guardian if they will be there or if rescheduling is necessary. If they are not there after 15 minutes you are free to log off. A No Show can be invoiced for 30 minutes total, as you are expected to be present for fifteen minutes and some additional time spent communicating or scheduling might be necessary to get sessions back on track.
- Initial Training: The training you receive when you first join Step Up Tutoring can be invoiced. Initial training should be invoiced for no more than 5 hours.
- Ongoing Professional Development: There are other opportunities which you might have the opportunity to participate in with Step Up Tutoring, such as cohort programs or nanocourses. Approval for such additional opportunities must be received beforehand.
Note: Step Up Tutoring keeps an internal record of time spent tutoring, which is used to ensure that submitted timesheets are accurate.
Timesheet Submission
Please ensure that you have submitted your timesheet by the payroll end date, which is specific by program. If you have submitted your timesheet, and don't know your payment date, please reach out to your school directly to inquire about pay distribution dates.
If you did not submit your timesheet by the payroll end date, please reach out to the workstudy@stepuptutoring.org email address and a supervisor will assist you with a late submission.
Note: Different Work Study programs will have different expectations about how to handle a late or missing timesheet. Please reach out to the email above to confirm your program's handling of late timesheets.

Do I need to log my hours after my tutoring session with a student?
A. If you are in Work Study, Angeleno Corps, or College Corps programs, please submit your hours according to your school’s process and landing page.

The amount of pay I received is not what I was expecting based on what I invoiced... why is that?
A. There are multiple possible causes of this, but in most cases a discrepancy between what you were expecting and received is due to a specific reason rather than a mistake. One possibility is that you submitted a timesheet that had line items on it which were not approved, but in that case you should have received a notice informing you of the situation; you can check for that possibility by emailing workstudy@stepuptutoring.org. Most other reasons are due to changes made or managed by your program, and you will need to reach out to your program contact to inquire about those.

I’m also working with another organization to use my Work Study grant. Does this change anything?
A. Yes! If you are also working with another group and your Work Study funds are distributed between that and Step Up, it means that you may be using your grant faster than expected. Step Up will not be able to track that for you. It is advised that you are vigilant on not exceeding your grant amount. You are required to let Step Up know if you are close to exceeding that number. Additional work study grant funds are sometimes possible, but entirely dependent on your program and circumstances.
